Add Uber’s Weekly statement, to your bookkeeping according to the breakdown shown in the report.
Do not record only the net amount paid into your bank account. Instead, report the sales, Uber’s service fees, tips, and any possible additional charges and promotions separately.
To receive income from Uber, your limited company must either be registered in the Finnish VAT Register or be required to report EU service sales.
How to add an Uber payout to your bookkeeping
- Make sure that the additional service for foreign trade is activated on your UKKO account.
- Download the Weekly statement for the relevant payout period from the Uber app.
- Check the report for the following items separately:
- sales generated through Uber services
- Uber’s service fees
- tips
- promotions, additional charges and reimbursements
- the amount paid into your bank account and any cash payments.
- Attach the Weekly statement to the income voucher you create in the UKKO service by selecting Add income.
- Date: Enter the first date of the period shown on the report.
- Transaction type: Select Sales.
- VAT rate and customer details: Follow the more detailed instructions below.
- Report the total sales shown on the report before deducting Uber’s fees. Follow the more detailed instructions below.
- State in the description which period the sales relate to.
- Add Uber’s service fees and any other charges itemized on the report as separate deductible expenses, or sales commission. Follow the more detailed instructions below.
- Mark the income as paid using the correct bank account transaction or transactions. Record any cash payments through the cash register.
- If you receive several payouts from Uber into your company’s bank account during the same calendar month, you can match them all to one income voucher and report the payouts for the entire month on one voucher. In this case, download the reports for all weekly payouts from Uber and attach them to the income voucher. However, the easiest option is to add the income according to the weekly statement you receive each week.
- If part of the sales revenue was received in cash, record that portion as paid through the cash register.
Below is an example of how to add Uber sales revenue to the UKKO service.
Which amounts should be reported as sales?
Report the total sales generated through Uber before Uber deducts its service fees or other charges.
The entries below are based on the example report:
-
Total fares collected through the Uber app: €1,382.35, VAT rate: 13.5%
The amount includes:
- Payments received through the Uber app: €1,184.44
- Adjustment: €27.28
- Cancellation: €4.85
- Service fee adjustment: −€30.99
- UberX Priority: €15.02
- Tax on payment: €170.30
- Waiting time for pickup: €11.45
- Tips received from passengers: €31, VAT rate: 13.5%
Add these sales subject to the Finnish 13.5% VAT rate as follows:
- Who bought the product/service: Private consumer
-
Buyer's country: Finland
- Other possible sales made to Uber: €32.67, VAT rate: 0%
These sales are subject to the EU reverse charge mechanism. They may include, for example, promotions, reimbursements and expenses:
- Promotion: €29.85, VAT rate 0%
- Reimbursements and expenses: €2.82, VAT rate 0%
Add these sales subject to the EU reverse charge mechanism as follows:
- Who bought the product/service: Business
- Buyer's country: EU country
- Select the EU country: Netherlands
-
VAT number: NL852071589B01, Uber’s VAT number
All sales in the example appear as follows on the completed income voucher:
Do not report only the net amount paid into your bank account as sales, because Uber may have already deducted its service fees from that amount.
Uber’s charges are handled as separate expenses. From Finland’s perspective, Uber operates using a Dutch business ID, which is why the reverse charge mechanism applies to these expenses and some of the income.
Which amounts should be reported as reductions?
Report the charges invoiced by Uber as deductions, or sales commission. The charges are listed as service fees on the report. Also include other earnings if the amount is shown as a negative figure.
Total deduction, or sales commission: €337.26
The example includes:
- Service fee: €336.30
- Other earnings: €0.96
Uber’s sales commission is handled using the EU reverse charge mechanism:
- Country of the expense: Select an EU country.
- VAT rate: Select 0%.
- Amount: Enter the total amount of €337.26.
The deduction in the example appears as follows on the income voucher:
How do I mark the income as paid?
After reporting total sales of €1,446.02 and deductions of €337.26 on the income voucher:
- Match the bank account transaction for the payout received from Uber, €1,079.13, to the income voucher and mark it as paid.
- You can find the amount of the Uber bank transfer in the report under Transferred to bank account.
- Record the cash sales of €29.63 as paid through the cash register.
- Enter the date of the first cash payment included in the sales reported on the weekly statement as the payment date.
Please also note
- To receive income from Uber, your limited company must either be registered in the Finnish VAT Register or be required to report EU service sales.
- Make sure that the reporting period corresponds to the payout period you are reporting.
- Attach the complete report to the income voucher so that the sales, expenses and net payout can be verified later.
- Do not use only the net payout shown on your bank statement as the sales amount.
- If the Uber Weekly statement includes items other than those listed above, do not automatically include them in the same entry. Check the VAT treatment of the item separately with Uber.
- Uber is a Dutch company. This is why some income and deductions are reported with a 0% VAT rate under the EU reverse charge mechanism.
- EU service sales must also be reported on an EU sales recapitulative statement.
Can I record the Uber payout only as the amount paid into my bank account?
No. The amount paid into your bank account is usually the net amount remaining after Uber’s sales and service fees have been taken into account. In your bookkeeping, sales and Uber’s service fees must be reported separately.
Which report should I attach as the supporting document?
Attach Uber’s Weekly statement, which shows the sales, expenses and other items that make up the payout.
