UKKO service fees (including UKKO Assurance, UKKO Business Account, and Foreign sales) are automatically charged from the payment card linked to your UKKO account every 30 days.
You can check your registered payment card details in your UKKO account under Settings → Subscription Management → Payment Information. If needed, you can update your card by clicking the "Edit" button.
An automatic expense entry is created in your UKKO account for each service fee charged from your payment card. You can find this entry under the "Pending Transactions" list on your dashboard or from the "Expenses" menu
A receipt is already attached to the expense entry, so receipts are not sent separately by email.
Please do not create new expense entries for service fees yourself—always allocate the bank transaction to the automatically generated expense entry.
If you are allocating a payment from your bank transactions:
- Enter the allocated amount and select "Add to expense".
- Choose the correct expense entry from the dropdown menu and confirm the selection.
Alternatively, you can allocate the payment directly from the Expenses menu:
- Click "Mark as paid".
- Select the correct bank transaction from the dropdown menu and confirm the selection.
The type of payment card used for the service fee affects how you should allocate the bank transaction to the expense entry:
- Company debit card: The payment appears directly in your bank transactions. Allocate the correct transaction to the service fee expense entry.
- Company credit card: Allocate only the service fee portion from your credit card bill transaction to the service fee expense entry. The remaining amount of the credit card bill transaction should be handled separately as other business expenses.
- Personal payment card: Reimburse yourself by transferring the service fee amount from your company’s bank account to your personal account using an expense claim. This ensures the payment appears in your company’s bank transactions, allowing you to allocate it to the service fee expense entry.
